Tennessee Express Tours LLC ("we", "us", "our"). These Terms govern all bookings and engagements between us and our customers (“you”, “your”).

1. Contract Formation

1.1 A contract is formed when we confirm your booking after receiving your completed application and required deposit.
1.2 For bookings via phone, email, or online, a binding contract begins when we send you written/email confirmation.

2. Bookings & Payment

2.1 Deposit: No deposits are required.
2.2 Final Payment: Due no later than 21 days before departure (or earlier for select packages).

3. Price Changes

3.1 We may adjust tour prices due to changes in transportation costs, accommodation, fuel surcharges, currency fluctuations, or taxes.
3.2 Price reductions will be passed on to you; price increases will be notified and payable before final payment.

4. Changes & Cancellations by You

4.1 All change or cancellation requests must be made in writing.
4.2 Fees for changes or cancellations may include:

• Any charges imposed by suppliers, plus

• Our administration fee.
  4.3 Cancellation charges:

• 21+ days before departure: loss of deposit

• 14–20 days: 50% penalty

• Less than 14 days: 100% penalty
  (Adjust based on package.)

5. Changes & Cancellations by Us

5.1 We reserve the right to alter or cancel tours if necessary for safety, comfort, or unforeseen circumstances.
5.2 If a significant change or cancellation occurs before departure, you may:
a) accept revised arrangements, or
b) receive a full refund, or
c) transfer deposit to a future tour.
We are not liable for extra costs like missed flights or personal arrangements.

6. Included Services

6.1 As detailed in your itinerary, our tours typically include overnight lodging, meals, transportation, attractions, and step-on guide services for groups of 20+.
6.2 Services not specified (e.g., airfare, travel insurance, optional excursions) are not included.

7. Travel Documents & Requirements

7.1 You are responsible for ensuring you have valid ID, health documents, visas, and any necessary permissions.
7.2 We are not responsible for denied boarding or entry due to incorrect documentation.

8. Insurance

8.1 Adequate travel insurance covering trip cancellation, medical emergencies, personal accidents, and baggage is strongly recommended.

9. Liability & Responsibility

9.1 We act as agents for third-party providers (e.g., hotels, transport operators) and are not liable for their failures.
9.2 Our liability for loss or damage to baggage is limited to $150 per person (or greater where required by law).
9.3 We are not responsible for losses due to events beyond our control: weather, strikes, acts of God, government actions, war, or pandemics.

10. Customer Conduct

10.1 You agree to comply with all laws and regulations during the tour.
10.2 Disruptive, abusive, or illegal behavior may result in your removal from the tour without refund or further liability on our part.

11. Complaints

11.1 Any issues must be communicated to the tour director immediately.
11.2 Written complaints should be submitted within 30 days of tour completion. We aim to resolve issues quickly and fairly.

12. Data Protection & Privacy

We collect and process your personal data solely to administer your booking and tour. Our Privacy Policy explains how we use, store, and protect your information. By booking you consent to these terms.

13. Governing Law

These Terms are governed by the laws of the State of Tennessee. Any legal disputes shall be resolved in courts located in Williamson County, Tennessee.

14. Amendments

We may update these Terms from time to time. The most current version will be published on our website; previous bookings remain subject to the terms in effect at their time of booking.
